Arctic Gateway Group LP (AGG) is an Indigenous and northern communities-owned transportation and logistics company headquartered on Treaty 1 Territory in Winnipeg, Manitoba. Through our operating companies, Hudson Bay Railway Corp. (HBR), Hudson Bay Port Corp. (HBPC) and the Churchill Marine Tank Farm Corp. (CMTF), we provide transportation and logistical support to a growing variety of customers and industries.
Our operations are geographically dispersed throughout Northern Manitoba with several remote locations and employees.
The Executive Assistant will provide high level administrative support to the CEO and Senior Management Team of AGG. The incumbent will be highly organized, proactive and possess excellent communication and time management skills. The Executive Assistant will be responsible for supporting the CEO with all administrative requirements, providing administrative support to the Board of Directors, optimizing research on multiple projects, and assist with the delivery of communications to stakeholders.
Key Responsibilities
• Manage executive calendars with a high focus on full calendar management for the CEO, inclusive of,
scheduling meetings and communicating with internal and external stakeholders
• Coordinate travel logistics including flights, accommodations and itineraries
• Plan and coordinate executive meetings, board meetings, and special events
• Prepare materials and agendas for meetings
• Compile and organize reports and presentations for board members including drafting and editing minutes
• Monitor special projects, timelines and provide progress reports to executives
• Maintain and organize files, records and corporate documents
• Collaborate with vendors and service providers handling inquiries and requests
• Research relevant topics to support executives and the Board of Directors
Qualifications
• Post secondary education would be an asset
• At least 3-5 years experience in an administrative role supporting C-suite executives
• Excellent communication and interpersonal skills, with the ability to interact with individuals at all levels
of the organization and within the communities AGG operates
• Strong organizational and time management skills, with the ability to prioritize multiple tasks and meet
deadlines
• Proven ability to handle confidential information with discretion
• Advanced proficiency in Microsoft 365 Office Suite (Word, Excel, PowerPoint, Outlook)
• Experience with travel arrangements and calendar management
• Knowledge and understanding of Indigenous culture, protocols and the communities the organization operates is
considered a valuable asset for this position
• Ability to work independently with minimal supervision
