 Description  : Pizza Girls and Katch Seafood is a renowned pizza and seafood restaurant chain found locally in Halifax, NS in 2001. Our company currently has 10 locations in across neighborhoods of Halifax and offer dine-in, takeout, and deliveries. To co-ordinate the internal cooperation, we are looking for a Administrative Officer to join our dynamic team and grow with us! He or she will be responsible for administrative procedures, work priorities, analyses of administrative operations and acquisition of administrative services.

Working Hours: 40 hours/week

Key Duties:

Administer, co-ordinate office administrative policies and procedures; review, evaluate and implement new procedures based on the industrial and internal regulations;
Establish work priorities, delegate work to support staff, and ensure deadlines are met and procedures are followed;
Manage agendas/travel arrangements/appointments, etc. for the management; prepare management expense reimbursements; take meeting minutes for conference and manage distribution of notes;
Answer, screen, and forward incoming calls; greet visitors and notify the meeting party or direct to appropriate staff; handle visitor logs and conference room bookings; maintain and update all employee contacts lists for internal distribution;
Perform clerical duties such as filing, data entry, and maintaining records related to legal, audit, tax, insurance, administration and other folders;
Prepare, proof and format contracts, letters, memos, reports for the management;
Distribute mail and faxes to the appropriate department/individual; manage incoming and outgoing couriered packages;
Orders stationary and other supplies; maintain adequate levels of office supplies; replenish when appropriate.

Qualifications and Skills:

A minimum of a High School diploma or equivalent is required;
A minimum of two years’ experience in an administrative role or similar environment supporting senior managers is required;
Outstanding communication and interpersonal abilities;
Customer-service oriented and self-motivated;
Knowledge of Microsoft Office: Excel, Word, Outlook, PowerPoint, etc;
Ability to work in tight deadlines, multitask, establish priorities and work and think independently;
Excellent time management and organization skills;
Prosper working in a team environment and be able to work independently;
High attention to details required with good verbal and written communication skills; multilingualism is an asset.
