Job Duties:

• Coordinate and plan office activities, including creating important office forms.

• Oversee and co-ordinate office administrative procedures to ensure that the office staff is complying with company policies.

• When required, Review, evaluate and implement new office procedures related to Vacation time, Sick leave, etc.

• Maintain a proactive approach and make a list of work priorities for each day.

• Discuss the work priorities in the morning meeting and delegate the work to office support staff.

• Maintain the minutes of the meeting.

• Ensure deadlines are met and procedures are followed.

• Formulate and control the policies and procedures related to the release of records in processing requests under government access to information and privacy legislation.

• Co-ordinate and manage all office services.

• Always ensure adequate stock of office supplies such as stationery.

• Manage travel arrangements/ accommodations etc. for employees whenever required.

• Co-ordinate with the responsible person for issues related to mobile patrol vehicle parking, office maintenance, etc.

• Assist in preparation of operating budget for each contract and client along with budgeting for office operations.

• Oversee and control the monthly budget to prevent the overspending.

• Minutely monitor the fuel consumptions of all company vehicles

• Assemble data and prepare monthly revenue/ expenditure reports

• Update office records and databases that contain personnel, financial, and office data.

• Communicate priorities to staff based on information provided by the manager.

• Prepare and keep data like hours of service, experience letters, promotion letters, etc. of the staff.

• Support bookkeeping and accounting staff when requested.

• Follow up with status and payments for invoices.



Job Requirements:

• Completion of high school or other programs for administrative assistants would be an asset but not mandatory

• 6+ months of experience as administrative assistant would be preferred but not mandatory.
