Job Duties:
• Coordinate and plan office activities, including creating important office forms, and contacting customers to pick up and deliver cargo.
• Update office records and databases that contain personnel, financial, and office data.
• Prepare a work schedule based on information provided by the manager, and owner, based on deadlines.
• Delegate work to office support staff, and ensure deadlines are met and compliance with the company’s procedures.
• Manage and organize office administrative procedures and documentation system, and periodically implement new procedures to improve efficiency.
• Prepare and maintain data like hours of service, schedule of employees, etc. and prepare documents like experience letters, promotion letters, etc. upon instruction from superiors.
• Coordinate with management regarding the release of information to the Accountant, CRA, or other personnel.
• Follow up with clients about the status and payments for invoices.
• Ensures that procedures relating to vacation time, time off, Sick Leave, Dress Code, etc. are followed by staff.
• Liaison with staff, suppliers, and clients.
Job Requirements:
• Completion of Secondary School is an asset.
• Completion of a College Diploma in business or public administration would be an asset, but not mandatory.
• 6 months of Experience in a related field would be preferred.
• Analytical thinking and problem-solving
• Being detail-oriented and capable of delivering a high level of accuracy
• Oral, written, interpersonal, and communication skills
• Co-ordination and Organisation
