Job Duties:
• Create and maintain digital presentations and brochures of the various kinds of services we provide to our customers.
• Prepare and proofread correspondences, and invoices to be sent to the clients.
• Ensure that the mail letters are kept in a safe and secure place so that a proper record is maintained.
• Effectively manage the company email inbox to ensure that client/vendor correspondences are managed properly.
• Coordinate the flow of information internally with the current employees to ensure that the team remains well-connected throughout.
• Greet visitors and identify the nature of the query.
• Schedule and confirm appointments and meetings with prospective clients and follow up with them.
• Order office supplies and stationery when required.
• Coordinate with the owner and Supervisor about cleaning and other Supplies and order them from the vendors.
• Liaison with vendors for cleaning and Office supplies and equipment.
• Answer telephone inquiries and convey messages to the related employee.
• Maintain the client database and employee records.
• Ensure that the procedures are followed by the staff at the sites as well as in the office.
Job Requirements:
• Completion of high school would be an asset.
• Completion of a one or two- year college program for administrative assistants or secretaries OR Previous experience in related services would be preferred but not mandatory.
• Good at multitasking
