Duties:
• Schedule and confirm appointments and meetings as well as coordinate request details with sites
• Order office supplies and maintain inventory
• Run general reports in Navision as required (e.g., Marketing Project Report, Email Blast Tool, Web Lead Conversion)
• Set up and maintain manual and computerized information filing systems such as gathering analytics metrics from agencies to be organized into templates
• Compile data and statistics to conduct research in assistance with project requests
• Prepare tracking reports for lead generation vehicles, summarizing leads generated and corresponding sales conversion metrics
• Provide PIPEDA/CASL support related to advertising initiatives
• Make monthly updates to the database to reflect changes from Unsubscribes/Opt-out requests
• Open and distribute incoming physical and electronic mail, process email blocking requests in Navision, and ensure the efficient flow of information both internally and across departments and organizations
• Cleanse eNewsletter mailing list data ports before issuing to agency
• Answer telephone and electronic inquiries and monitor eNewsletter mailbox and work with Sales Admin. Assistant to ensure lead requests are tracked and responded to in a timely manner
• Prepare business card artwork, secure approvals, and send updated business card artwork to Purchasing.
• Manage inventories of collateral and promotional products in Marketing Stockroom and at off-site storage facility
• Coordinate collateral and promotional product releases requested by sites and sales team
• Assist with artwork creation for one-off sales and support requests
• Proof-reading assistance on various advertising and collateral support projects
• Coordinate with Community Outreach Specialist regarding tradeshow and outreach promotional materials
• Determine and establish office procedures such as coding and tracking Marketing Plan invoices
• Prepare, edit/proofread correspondence and ensure invoices are submitted by vendors in a timely manner
• Commit to work within an inclusive team that enables MPG to better understand and connect with the diverse communities it seeks to serve
• Model the team’s commitment to inclusion, diversity, equality and accessibility through their words and actions
• Assist with Marketing, Communications and Outreach team’s vacation process and tracking in Navision
• Perform other marketing-related administrative and/or clerical duties, as assigned by the Manager, Advertising & Analytics


Requirements:
• Degree/Diploma in Communications, Public Relations or Marketing or other related disciplines; or equivalent combination of work experience, training and education
• At least two (2) years’ clerical experience working in a comparable role
• At least two (2) years of experience in marketing
• Can effectively communicate (verbal and written) in English, with additional preference given to those who can also communicate in Chinese (not mandatory)
• Experience working for organizations within the not-for-profit sector preferred
• Experience working in a relationship or partnership with diverse communities and within contexts where there is a focus and commitment to equity, diversity, and inclusion.
• Strong interpersonal skills to allow for the ability to build effective relationships within own team and with key stakeholders
• Excellent priority setting, analytical and problem-solving skills
• Demonstration of a high degree of cultural competency and a commitment to supporting diverse and inclusive teams and relationships with external stakeholders
• Knowledge of marketing analytics tools is helpful (Illustrator, Photoshop, InDesign) and MS Office, especially Microsoft Excel and PowerPoint
• Strong organizational skills and ability to manage multiple priorities and deadlines
• Creative, detail oriented and ability to take initiative
• Able to adopt the style, tone and voice of our brand and the type of content/subject matter we deal with
• Intermediate proficiency of Windows and MS Excel, PowerPoint, Word and Outlook
